Namespaces

What is it?

In the Intelligent Authoring Platform, a namespace represents a distinct use-case environment. Rather than being a simple grouping or filtering mechanism, a namespace is a way to clearly separate use-cases — each with its own configuration, data, and user access.

When you work within a namespace, the platform scopes everything to that context: the workspaces, templates, documents, and smart elements you see are those that belong to the active namespace. This separation ensures that different teams or business areas can operate independently within the same platform without interfering with each other.

What does a namespace control?

Area What it means
Use-case separation Each namespace defines a self-contained environment for a specific business purpose (e.g., regulatory submissions, quality documentation). Teams work within the namespace that matches their use-case.
Content scoping As a side effect of use-case separation, the workspaces, templates, and documents visible to you are automatically filtered to those belonging to your active namespace.
Namespace-specific configuration Each namespace can have its own configuration — including template types, metadata schemas, smart field definitions, and other settings tailored to that use-case.
Namespace-specific data onboarding Data onboarding (e.g., importing reference data, product information, or other structured content) can be managed independently per namespace, ensuring each environment has the data it needs.
Admin panel access . When a Business Admin accesses the admin panel, they manage only the configuration and users within their own namespace.

How is a namespace different from a workspace?

Namespaces and workspaces serve different purposes:

  • A namespace defines the overarching use-case environment — it controls what configuration, data, and content is available.
  • A workspace is a project-level container within a namespace — it groups related documents and templates together for a specific initiative.

Think of it this way: a namespace is the building, and workspaces are the rooms inside it.


How can I use it?

Select your default namespace

When you first access the platform (or if no default is set), a Default Namespace Selection dialog appears:

  1. The dialog displays the available namespaces as cards. Each card shows:
  2. Namespace name
  3. Description
  4. Select the namespace that matches your use-case by clicking its card. A checkmark confirms your selection.
  5. Click Submit to set your default namespace.

Switch between namespaces

If you are assigned to multiple namespaces, you can switch between them at any time:

  1. In the left sidebar, locate the Namespace section at the bottom. It displays your currently active namespace (e.g., Global).
  2. Click on the namespace name to switch to a different one.
  3. Once switched, the platform updates to show only the workspaces, templates, documents, and smart elements that belong to the selected namespace.

Roles and namespaces

Role What you can do
Business Admin Manage users and configuration within the namespaces you administer.
User (Author / Reviewer) Work within the namespaces you are assigned to. You can be assigned to multiple namespaces and switch between them. All workspaces, templates, and documents you see are scoped to the active namespace.

Note: Namespace assignments are managed by your Business Admin. If you need access to a different namespace, contact your administrator.
